About your new role

Our Healthcare team is a vibrant specialist department. We provide advice on all aspects of healthcare law, including clinical negligence, EL/PL, patient safety, human rights and mental health. The ethos of the team is to work hard for our clients so that we secure the right outcome for them. We continuously strive to improve our technical skills and enhance our ability to meet the clients’ needs as they evolve. The healthcare sector is fast moving and the challenge of working for our clients provides very interesting work.

As an Administration Assistant you will be report to your Support Team Manager and you will play an integral role in the efficient running of the team. You will assist the case handlers in the team by carrying out general case and file management duties, including tasks such as:

  • Opening new instructions received from the client and complying with strict time deadlines
  • Keep all file information updated – associates / MI / key dates
  • Sending post out of the office via email or occasionally in hard copy
  • Assisting in preparation of electronic bundles
  • Carry out general administrative tasks
  • Processing of incoming post via FlowMatrix, to include extraction of key dates
  • Comply with all data security procedures, at all times
  • General file maintenance
  • Closing files and archiving
  • Processing medical records – to include requested DPA checks
  • Adhere to the service levels within the team and ensure work is completed within these levels
  • Liaise with the other support team members to effectively manage workload
  • Be responsible for own training needs and keep up to date with all training opportunities
  • Provide assistance in the billing process and other admin duties as and when necessary
  • Resolve minor IT problems and have proficient knowledge of Microsoft and MatterSphere

This list is not intended to be exhaustive and you will be expected to perform other duties and have other responsibilities that fall within the wider remit of the role. As an Administration Assistant you will also ensure you comply with relevant Weightmans and client policies and procedures, and consistently work in accordance with our values.

About You

Ideally you will have previous experience of working in a similar role and in a similar environment. As the role is varied, we are looking for you to have a flexible approach to the work you do and be able to adapt to different tasks. We are also looking for you to have:

  • Strong IT skills
  • Communications clear and effective
  • Can manage time and organise tasks well
  • Is confident is multi-tasking and prioritising 
  • Works well under pressure and to deadlines 
  • Enjoys working as part of a team and can also take initiative
