About your new role

We are looking to recruit an Administrative Assistant to support the Specialty team in London, which specialises in insurance litigation. The Specialty team undertakes a broad range of substantial, challenging and largely contentious work.

Main duties and responsibilities

  • Providing administrative support to the team
  • Providing assistance to the team with the billing process (including sending invoices to clients) and debt recovery
  • Carrying out conflict checks and opening new matters on the firm’s systems
  • Arranging and co-ordinating meetings, events and seminars, in close co-operation with fee-earners
  • Completion of management information
  • Booking travel and dealing with expenses, in accordance with firm policy
  • Deal with confidential, sensitive and restricted internal and client matters
  • Ad hoc support to campaign and marketing activities
  • Effective liaison with support staff to manage workloads efficiently
  • Assisting with other work allocated by the Team Manager
  • Work in accordance with Weightmans’ values

Basic fee earning work, including:

  • Drafting basic correspondence, document reviews, chronologies and preparing court and other documentation
  • Preparing instructions to experts/counsel and paper/electronic bundles of documents
  • Liaising by phone and e-mail with client contacts and third parties
  • Attending meetings and preparing attendance notes
  • Recording time for an such chargeable work

About You

  • Experience of dealing with insurance litigation (including a basic understanding of insurance policies, the insurance market, reporting arrangements, reserving philosophies, and the relationship between brokers, underwriters/insurers and lawyers) is desirable
  •  Experience of doing some fee-earning work is desirable a willingness to do so is essential
  • Outgoing, professional and confident with a positive approach
  • Maintain a high level of accuracy
  • Fully understands the importance of confidentiality, both internally and externally
  • Flexible, pro-active and works well under pressure
  • Excellent organisation and time-management skills
  • Excellent IT skills, including Microsoft Word, Excel and PowerPoint
  • Good teamwork skills
  • Training on the job will be provided, where appropriate
