Weightmans’ IT team plays a pivotal role in the firm’s innovation strategy, enabling digital transformation across departments.
The Asset Manager will be responsible for the effective management, tracking, and optimisation of IT assets throughout their lifecycle. This includes hardware, software, configuration items (CIs), and licenses in line with ITIL best practice.
The role requires asset management experience in a highly audited environment to support our Risk & Compliance team with audit readiness and process governance. The role involves ensuring asset data integrity across software and hardware.
This position reports into the Head of Strategic Planning and Governance who is responsible for the efficient design and delivery of IT projects, programs and BAU services. The role holder should be an experienced asset manager (ideally having set up asset management previously) with strong knowledge and experience in this area.
Asset Management
- Ensure the consistent accuracy of the Asset Register for all hardware (laptops, mobile phones, servers, etc.).
- Design and govern the process to track assets through their lifecycle, including onboarding, deployment, transfers, returns, and decommissioning.
- Ensure assets nearing warranty expiration are repaired or replaced.
- Work in partnership with our Risk & Compliance team to maintain governance of hardware and software asset management standards.
- Conduct compliance checks and audits as required.
Software & License Management
- Verify systems are compliant with licensing terms (e.g., Microsoft, Adobe).
- Monitor software usage metrics to identify unused or rarely used software and reassign licenses to optimise costs.
- Review and update software policies, investigating any policy violations.
- Perform license true-ups or reconciliations and keep the software asset inventory updated.
- Ensure all logs, receipts, and license files are properly stored and organised.
- Work closely with the procurement team to ensure efficient and cost-effective licence renewal positions.
- Ensure new software access or license requests, are processed effectively and in line with licence availability and usage conditions. approvals.
Configuration Management Database (CMDB)
- Responsible for establishing and ensuring effective usage of the CMDB (within our ITSM platform).
- Validate accuracy of new or updated Configuration Items (CIs), checking for duplications, missing attributes, or incorrect relationships.
- Monitor CI statuses and ensure decommissioned assets are updated or removed.
- Support Change Management by analysing which CIs are affected by upcoming changes.
- Review data from automated discovery tools (e.g., Intune Discovery, MDM).
- Responsible for improving the quality, completeness, and integrity of the CMDB, collaborating with Hybrid Platform, Modern Workplace, and Service teams.
- Establish and enforce CI naming conventions and provide CI data support during incidents, problems, and audits.
Security & Compliance
- Implement systems and processes that enhance organisational security posture.
- Ensure compliance with legal obligations, ISO standards, and internal security policies.
- Maintain compliance and optimisation of software licensing throughout the IT environment.
- Maintain structured processes, technical documentation, standard operating procedures, and knowledge bases to support operational excellence and compliance.
Project Delivery
- Support project execution using Weightmans’ project management framework, ensuring delivery to time, budget, and scope.
- Act as a subject matter expert in project teams, supporting implementation and change initiatives relating to asset management and CMDB.
Continuous Improvement
- Champion operational improvements using methodologies such as ITIL, Lean, or Six Sigma to enhance service value and reduce waste.
Risk & Compliance
- Ensure systems and processes meet legal, regulatory, and data protection standards including GDPR, ISO 27001 and Cyber Essentials+.
