About your new role

The M365 subject matter expert will be responsible for designing, implementing, and optimising Microsoft 365 solutions across the organisation, with a particular focus on SharePoint. 

The role demands a hands-on technical expert who can ensure our M365 suite is fully optimised, delivering an exceptional colleague IT experience, collaboration and productivity day to day.

This position reports into the Team Leader for Modern Workplace & Applications who is responsible for the day-to-day leadership of the technical team, BAU support, deployment of any changes required and managing associated project work. The role holder should be an SME and able to demonstrate significant experience in this area.

Key Duties and Responsibilities
  • Architect, configure, and manage SharePoint Online sites, libraries, and workflows to meet business needs, in particular in relation to Teams and OneDrive along with Weightmans’ Intranet and Document Management System.
  • Work with our Risk and Compliance team to develop governance policies and best practices for SharePoint usage and content lifecycle management in line with our Information Security Management Systems.
  • Drive adoption and provide guidance on leveraging SharePoint for document management, intranet and collaboration.

Microsoft 365 Administration:

  • Manage and optimise core M365 services including Teams, OneDrive, Exchange Online, and Power Platform.
  • Implement security and compliance controls across M365 applications.
  • Monitor system health, troubleshoot issues, and ensure high availability.
  •  Proactive monitoring and capacity planning for M365 services

Modern Workplace Enablement:

  • Collaborate with stakeholders to understand requirements and translate them into technical solutions.
  • Work with our training and adoption team to design training for end-users to maximise productivity and adoption.
  • Stay ahead of emerging M365 features and recommend improvements and identify emerging features that can benefit the firm
  • Stay ahead of emerging M365 features and ensure there is no loss of service in particular in relation to those applications that integrate with M365 in particular our work management platform amongst others.

Role Based Access Control (RBAC) & Licencing

  • Maintain effective access control and licencing across the full Microsoft estate.

Back-Up & Recovery

  • Ensure reliable backup operations in accordance with Weightmans’ backup policies and Business Continuity Management Systems.

On-Call Support

  • Ensure high quality on call support is provided (estimated to be one week in five).

Reporting & Analytics

  • Produce operational reports and dashboards to track performance, risks, and trends.

Process & Documentation

  • Maintain structured processes, technical documentation, standard operating procedures, and knowledge bases to support operational excellence and compliance.

Project Delivery

  • Support project execution using Weightmans’ project management framework, ensuring delivery to time, budget, and scope.

Test, Transition and Release

  • Adhere to the end-to-end testing lifecycle, ensuring technical readiness and quality assurance across all delivery stages in line with our testing framework
  • Coordinate the handover of technical solutions into live service, ensuring systems are ready for release and support teams are fully prepared to manage them in line with our transition framework.

Continuous Improvement

  • Champion operational improvements using methodologies such as ITIL, Lean, or Six Sigma to enhance service value and reduce waste.

Risk & Compliance

  • Ensure systems and processes meet legal, regulatory, and data protection standards including GDPR, ISO 27001, ISO 22301 and Cyber Essentials+.

About You

Ideally you will have previous experience of working in a similar role and in a similar environment. As the role is varied, we are looking for you to have a flexible approach to the work you do and be able to adapt to different tasks. We are also looking for you to have:
  • Proven expertise in SharePoint Online architecture, administration, and customisation.
  • Strong knowledge of M365 ecosystem including Teams, OneDrive, Exchange Online, and Power Automate.
  • Experience in designing governance frameworks and managing permissions in SharePoint.
  •  Understanding of security, compliance, and data protection within M365.
  • Experience in migration projects to SharePoint Online
  • Proven excellence in a technical role within Modern Workplace/ EUC environments.
  • Strong understanding of Microsoft cloud technologies and enterprise IT infrastructure (ideally with appropriate qualifications)
  • Excellent communication, stakeholder engagement, and team leadership skills.
  • Ability to manage multiple priorities and deliver high-quality outcomes under pressure.
